What we collect
We only collect what we need to work with you:
- Bookings: your name, email address and phone number, the session, date and time you choose, where it takes place (and the address, if we come to you) and any notes you add.
- Payments: taken by Stripe. We see what was paid and when. We never see or store your card details.
- Agreements: if you sign an agreement with us, its details, your typed signature, the date, and the internet address (IP) it was signed from.
- Invoices: the name and email address of whoever pays.
- Galleries and moodboards: the photographs and films we make for you, the images you choose, and any references you upload.
- Training programme: if you sign a consent form for a young person on our training programme, their name, date of birth, school and any medical notes you share; your name, relationship, phone, email and address; an emergency contact; the consents you give; and the internet address the form was sent from.
- Messages: anything you send us by email, phone or social media.
- Visits to this site: anonymous statistics, explained under Cookies and analytics below.
How we use it
- To book, run and deliver your session or project, and to send you confirmations, reminders and your images. We do this to carry out our agreement with you.
- To keep the financial records the law requires.
- To run the training programme safely. A young person’s details and medical notes are used for nothing else, and are shared only with the people supervising them, or with the emergency services if ever needed. We rely on the consent of a parent or guardian.
- To answer messages and keep this site working and secure, which is in our legitimate interests.
- To count visits so we can improve this site, and to understand how people use it with Google Analytics, only if you accept it.
We never sell your information, and we never use it for advertising.
Who helps us
A few trusted companies process information for us, only on our instructions:
- Vercel, which runs this website, stores some client files and counts visits.
- A secure cloud database, which holds bookings, agreements and forms.
- Stripe, which takes payments.
- Resend, which sends our emails.
- Cloudinary and Google Drive, which store and deliver photographs and films.
- Google Analytics, only if you accept it.
Some of these companies keep data outside the UK. Where they do, the transfer is protected by the safeguards UK data protection law requires.
Cookies and analytics
We count visits with Vercel Web Analytics, to see how many people visit and which pages they read, so we can improve the site. It uses no cookies, stores nothing on your device and keeps no internet address, so it never identifies you. You can turn it off for this device here:
Your visits are counted on this device.
With your permission, we also use Google Analytics. It sets cookies so we can see which pages people visit, how they find us and what device they use. It only switches on if you press Accept, its advertising features are turned off, and Google keeps this data for no more than 14 months.
To make the site work well, your browser also remembers your privacy choices and how fast your connection is, so films load at the right size. These stay on your device and are never sent to us.
You can change your mind about Google Analytics at any time with Cookie settings at the foot of the page.
How long we keep it
- Bookings, payments, agreements and invoices: six years, as tax law requires.
- Galleries: until the gallery’s end date, or sooner if you ask.
- Training programme forms: for as long as safeguarding guidance requires.
- Messages: up to two years, unless they become part of a booking.
Your rights
You can ask us to:
- show you the information we hold about you, and give you a copy
- correct anything that is wrong
- delete it, where we no longer need to keep it
- stop or limit how we use it
You can also withdraw any consent you have given, at any time.
Email bookings@chace.studio and we will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
